The NCGS fall conference provides the following opportunities for vendors, advertisers, and sponsors:
- A table in the vendor room at the in-person conference in Raleigh
- Advertisements in our syllabus and/or online slide show
- A promotional video (15 to 60 minutes) you provide which can be played on demand during the conference and for a period afterwards
- Sponsoring a lecture or other event
- Sponsoring registration fees for those who can’t afford to attend (NCGS Sponsored Attendance Fund)
- Donating door prizes
- NC genealogical societies may have a free listing in the syllabus and slide show, and unattended table space for literature
Instead of the typical “Gold Level gets you this,” you can select any combination of options and the level you receive is simply based on the total. Basically, the only pay for what you need method.
- Bronze Level – $150
- Silver Level – $250
- Gold Level – $500
- Emerald Level – $750 (the North Carolina State Precious Stone)
All organizations purchasing these services will have their names listed in online conference materials, and in the printed syllabus if purchased prior to August 30, 2026.

Vendor Tables
The in-person conference will have a Genealogy Resource Room with tables for organizations to provide information, consulting, and to sell services and products. Our goal is for more interaction than the typical “take a flyer,” and we can provide chair(s) in front of your tables for visitors to sit and chat. The room will be open during the conference all day Friday and Saturday, and will be locked overnight so you can leave everything out.

Advertising
Ads will appear in the printed syllabus given to in-person attendees, and the online PDF version available to all attendees. The same ads will also appear on a slide show which will run continuously for online attendees during breaks and lunch.

Printed Flyers
All in person attendees will receive a tote bag which will be preloaded with flyers and other materials. If you wish to provide flyers, we can have them printed for you for a fee, or you can mail them to us for no charge. All materials must be received by September 14 !

Promotional Videos
Virtual attendees will be able to play prerecorded lectures at any time during the conference, and all attendees will be able to play these videos on demand for 60 days after the conference. You may provide your own promotional videos 15, 30, or 60 minutes in length which will be listed along with these lectures.

Door Prize Donations
In-person attendees will be eligible for doors prizes, selected randomly and announced at various times during the conference. Prizes will also be given to the top 3 winners of the genealogy trivia quiz on Friday afternoon. When the prizes are announced, we will at your option include a sentence or two which you provide about you or your organization. Donor names will be listed in the printed and online syllabus. Donors may also elect to remain anonymous.

Sponsorships – Conference
Sponsorships are available for any of our scheduled lectures, workshops, other activities, or simply the conference itself. The sponsor name can be an individual or individuals, “in honor of”, or an organization, and will be mentioned any time the sponsored activity is listed in the syllabus, website, or conference publicity. Sponsors may also elect to remain anonymous. Minimum donation is $100.

Sponsorships – Individual Registrations
Would you like to help someone attend the conference who cannot afford to do so? NCGS has created the Sponsored Attendance Fund which accepts donations from anyone and uses them to pay registration fees for those who can’t afford to attend. North Carolina Genealogical Societies – Free Publicity!
Genealogical societies based in North Carolina or focused on NC topics have two opportunities for publicizing their group. You may select one or both options.
- A listing with the name, URL, and counties and/or topic area in the printed and online syllabus, and in the slide show played to the online audience during breaks and lunch. Free!
- Space on unattended tables in the main lecture room to display flyers, brochures, and/or sample publications. Free!
